Usage Policy for State Agencies
(Effective: October 15, 2008)
Groups allowed to use the Conference Room:
- Employees/Departments with the Department of Culture, Recreation & Tourism are given first
priority in scheduling.
- During normal working weekday hours of the Capitol Park Visitors Center, the room may be
reserved free of charge by other State Agencies. There is no rental charge for use of the
Conference Room by State Agencies at this time. A request for administrative rules has been
submitted for approval to allow a reasonable charge after January 1, 2010.
Meeting Room Rules:
- Reservations must be made at least 10 days prior to your event.
- Reservations are considered tentative until confirmed via email.
- To provide continued access to all entities, The Capitol Park Welcome Center Conference
room can be reserved for only three consecutive days by one group/organization.
- Please be advised that the Capitol Park Welcome Center will be opened to the public during
your meeting time.
Responsibilities of Organizations using the Conference Room:
- The organization is responsible for discipline and reasonable care of the meeting room and is
financially responsible for damages to facilities, equipment, or contents. GROUPS ARE
RESPONSIBLE FOR SETTING UP THE CHAIRS AND TABLES IN THE MEETING
ROOMS FOR THEIR OWN USE.
- Please inform us within 3 days if your event cancels so that we may accommodate others.
- Please inform on-site personnel if there are any spills, restrooms that need attention or anything
else that requires immediate attention.
- It is the responsibility of the group/organization to leave the room orderly and clean at the end
of a meeting. Groups are responsible for emptying the trash cans into the dumpster.
- It is the responsibility of the group/organization to test the audiovisual equipment prior to use. We accept no responsibility for audiovisual problems encountered after your reservation is
accepted.
Parking
- We are allowed to validate parking in the Welcome Center Parking Garage for meetings lasting
over two hours.
Food and Beverages
- Food and beverages are allowed in the conference room.
- Capitol Park Welcome Center does not supply any food or beverages.
- All food and beverages are to be removed from the premises at the end of a meeting.
